1.Session Process: Photoshoot will consist of approximately 2-3 hours depending on number of athletes. Participant must be present for the full duration of the session to receive all image styles photographed and allotted number of athlete images each. Session is created in style sections. **There is NOT an option to rearrange this or bounce back and forth between between set ups. If someone leaves early or arrives late, they will miss out on 1 or more of these options.
2. Parent/Athlete Agreement: If Parents want their athlete to do certain image poses or shots (smiling at the camera, letter jacket, etc. this must be discussed and agreed upon by athlete and parent before the session, not during the session. It is NOT the responsibility of the photographer to enforce or require certain poses of the athletes. Please note that media day sessions are meant to be a fun & playful experience for the athletes. We do not recommend parents be at the session coaching, advising, or critiquing their athlete during the session as it truly changes the atmosphere and intent of the session. Obscene images will of course not be allowed.
3.Social Media Release: Applies to all participants. Representative/singing party is to share information from this contract with all participants. I/we hereby grant permission to Photographic Designs by Rachel Williams/Tulsa Sports Photographer to use photographs taken of all participants for use in publications, website/social media use, or any other marketing purpose. Video Release: We will often video clips of the custom session during your session of behind the scenes images for social media and other marketing purposes.
Liability release: I/ or my child/student/athlete(s)/participating families have agreed to participate in a photography session that will often involve sports action or other sports style images. I knowingly and freely assume all responsibility for any risk to myself/child/student/athlete(s)/participating families child during the portrait session. I further agree to release and hold harmless Photographic designs by Rachel Williams, LLC. aka Tulsa Sports Photographer from all claims and liabilities of any type whatsoever and for damages to, loss or destruction of any property or injury, sickness or death, which may result from participation in the upcoming action sports photography session.
4.Session Attendees: Session attendees should be the participating athletes with a potential coach/team rep/or parent rep. For HighSchool Seniors/Varsity/ and of course adult athlete sessions, a rep is not required by us. **Young Children - (supervised or not) should not be present at a custom media day sessions due to the amount of large/expensive equipment set up, /purpose of session, atmosphere/vibe of expected session, general safety, etc. Regarding family attendance of the athlete group Participants: Should spectators choose to come to a session, we ask that they stay back from the session area (in the stands or bleachers away from the photography set up areas) Again, please read and communicate the above section: Parent & Athlete Image Agreement.
5. Participants (Absentees, Cancellations): All participants must be paid in advance participants. There is NOT an option for partial session participation. A single participant can purchase a full session for themselves or a session may be split evenly between participants within the team and number of athletes guidelines. Example: We will NOT photograph a full team image and then a few athletes wanting to purchase. ALL participants must be paid participants. Should a paid participant be unable to make the session, we will include their allotted images elsewhere. We do not offer Refunds, Reshoots, or Make Up Sessions for absent participants. A new full price custom session would need to be arranged for 1 or more people absent at the custom session. Participants are expected to be athletes. We do not include images such as family portraits, party pic style group images, etc. Athletes that are siblings, best friends, etc. would fall under the buddy image style option if selected.
